Boyertown Area School District

The Boyertown Area School District was seeking a solution to reduce the number of copier/printers and simplify the navigation of print queues to reduce copy/print costs, increase the security of printed confidential material and improve the efficiency of document management. In partnership with Edwards Business Systems, the district reduced its printer fleet from over 675 devices to 80 and implemented a Follow-Me printing solution. This enables users to print to a single print queue and pick up their jobs from any device located on the district network. Users need to use their proximity card access their print jobs and release them. Users must also use their proximity card to scan and copy, providing the district with detailed accountability reports of these services. Students from K-12 also use the system, however, in lieu of using a proximity card they use their student ID#.

The Boyertown Area School District has been using this system for the past three years and have met and exceeded every goal outlined prior to implementation. There is no longer unclaimed print outs laying on printers, confidential paperwork left on printers, users now duplex all print jobs and we have seen a significant reduction in paper consumption. The cost savings recognized by the district is over $40,000.00/year which does not include paper savings.

Users experience a greatly simplified printing experience by not having to know what each printer is named, where it is located or if it is out of service. They can print to one of two print queues and choose the closest printer to retrieve them. Print jobs are retained for 48 hours, so if they forget to release them, they can pick them up at a later time.
